A Comprehensive solution to certification and license management

Another layer of precision and compliance surrounds your employees who require certification, or some type of license in order to perform their job legally. There are all kinds of job roles that require or benefit from certification, including: CIO, IT security analyst, security engineer or architect, information assurance program manager and senior IT auditor, among many others.

Many certification programs are affiliated with professional associations, trade organizations, or private vendors interested in raising industry standards. Certificate programs are often created or endorsed by professional associations.

According to the ANSI, “certification is different from professional licensure. In the United States, licenses are typically issued by state agencies, whereas certifications are usually awarded by professional societies or educational institutes. Obtaining a certificate is voluntary in some fields, but in others, certification from a government-accredited agency may be legally required to perform certain jobs or tasks. In other countries, licenses are typically granted by professional societies or universities and require a certificate after about three to five years and so on thereafter.”

Whether a certificate or licensing process for your new hire, the goal is to ensure that proper policies and controls are in place to reduce risk, to set up a system of checks and balances to alert personnel when new risks materialize and to manage business processes more efficiently and proactively.

One of the things we continually hear from our clients is that the challenge to maintain certificates and licenses for both new hires and current employees is a tremendous undertaking. Placing the responsibility solely on your employee to make sure their documentation is up-to-date puts too much risk on the company, so a solution is needed in maintaining these important certificates and licenses.

So what’s the PROBLEM with certification and license management?

Many employees require some form of licensing and certification to perform their job.  As an employer, managing this compliance task is a challenging task.  A record of all employees and their various certifications and licensing must be maintained along with expiration and renewal requirements to ensure no one is working out of compliance.

Like all other matters surrounding compliance, the cost for not maintaining up-to-date and appropriate certificates or licenses is substantial. Not only can your company be hit with state and/or federal fines, but any damage done to a client under suspended licenses or out-of-date certification opens yet another avenue of lawsuit, along with damage to your business’ integrity.

Ok, so what’s the SOLUTION?

Xenqu has highly configurable expiration management capabilities built-in to enable storing all the images of each item, recording the expiration, and documenting the requirements for renewal.  Each renewal cycle is automatically published with the items required for compliance and reporting tools help aggregate all the data for high visibility into the process.

Instead of trying to manually track all of the licenses and certifications via paper or employee memory, our fleet of intelligent robots can automate the entire process, assuring that documentation is maintained and current, keeping your employees and company compliant.

If your company deals with multiple certifications and license management, let us show you how we can help you streamline your process, keeping on-track and compliant.
